Portals › Portal Applications is the one place you review a speaker application. Whether someone applied through Open Applications or answered a private invitation, their application lands here with everything they sent, and nothing reaches your site until you approve it.
What You See
Awaiting Review lists every pending application. Each one shows:
- The speaker: photo, name, title and company, email and phone, bio and speaker reel. An Invited tag marks someone who came in through the Portal Invitation Center.
- Proposed Sessions: every session they proposed, with its format, length, description, takeaways and any documents they attached.
Approve, Decline or Remove
- Approve approves the speaker and every session they proposed. The speaker joins your Speakers list and is emailed. Their sessions wait in the Agenda's Unscheduled list and appear on your site once you give them a time.
- Decline marks the application Not selected. It never appears on your site, and the applicant sees "Not selected" when they sign in to the portal. It moves to a Declined list, where Approve Anyway brings it back if you change your mind.
- Remove, on a single proposed session, deletes just that session. The rest of the application stays for your review.
- Edit on Speakers opens the Speakers page if you want to fix a detail first.
Open Applications
The Allow open speaker applications switch lets anyone visit the Speaker Portal, choose Apply to speak, and submit a proposal without an invitation. Those applications arrive here too.
Speaker Self-Service Editing
The Speaker Self-Service Editing card, also on this page, decides what a speaker may still change in the portal once you have approved them. Before approval they can edit everything they submitted; after it, only the boxes you tick: headshot, name, title and organization, bio, speaker reel, mobile phone, session title and description, session takeaways, session documents. Click Save Editing Rules when you are done.
Who Can Do What
- Opening this page, and setting the Self-Service Editing rules, needs the Portals permission.
- Approving or declining an application needs the Speakers permission. Approving a speaker's sessions, or removing one, needs the Agenda permission.
- A teammate without the Portals permission still sees Approve and Decline on the Speakers page, so they are never stuck.
